JobAdder Integration

Connect ScoutUp.ai with JobAdder to sync candidates and automate your workflow.

Connecting to JobAdder

  1. Go to Settings in the main navigation
  2. Find the Integrations section
  3. Click Connect to JobAdder
  4. Log in to your JobAdder account when prompted
  5. Authorise ScoutUp.ai to access your JobAdder data
  6. You'll be redirected back to ScoutUp.ai

What Gets Synced

From JobAdder to ScoutUp

  • Jobs: When you trigger from JobAdder, the job is imported
  • Candidates: When moved to the ScoutUp stage, candidates sync with their details
  • Attachments: Candidate documents (CVs, cover letters) can be synced for document evaluation

From ScoutUp to JobAdder

  • Notes: Evaluation summaries are posted as notes on the candidate record
  • Status Changes: Workflows can move candidates to different statuses

The Partner Action

After connecting, a "ScoutUp" action appears in JobAdder's action menu on job applications. Clicking this:

  1. Creates the job in ScoutUp.ai (if not already there)
  2. Syncs the candidate's details
  3. Opens ScoutUp.ai to that job's candidates tab

Setting Up Your JobAdder Workflow

We recommend creating a workflow stage in JobAdder specifically for ScoutUp screening:

  1. Create a status like "ScoutUp Screening" in your JobAdder workflow
  2. When you want to screen a candidate, move them to this status
  3. Use the ScoutUp partner action to send them for screening
  4. Set up ScoutUp workflows to move candidates to appropriate statuses after evaluation

Workflow Actions for JobAdder

In your ScoutUp workflows, you can:

  • Move to Status: Automatically change the candidate's JobAdder status based on their score
  • Add Note: Post the evaluation summary and score as a note in JobAdder

Document Syncing

If you've set up document requirements in ScoutUp:

  1. Go to the job's Candidates tab
  2. Click Sync Attachments
  3. ScoutUp fetches all attachments from JobAdder for candidates on this job
  4. Documents are matched to your requirements automatically
  5. You can then run document evaluations

Disconnecting

To disconnect JobAdder:

  1. Go to Settings
  2. Find the Integrations section
  3. Click Disconnect next to JobAdder

This removes the connection. Jobs and candidates already synced remain in ScoutUp but won't receive updates.

Troubleshooting

Candidates not syncing

Check that:

  • The candidate has a valid phone number in JobAdder
  • You're using the partner action (not just moving status)
  • Your JobAdder connection is still active (check Settings)

Notes not appearing in JobAdder

Notes are posted after evaluation completes and workflows run. Check that:

  • The interview has been evaluated
  • Your workflow includes the "Add Note" action
  • The workflow conditions were met

Connection expired

JobAdder tokens expire periodically. If you see connection errors, disconnect and reconnect in Settings.
