Screening notifications

How to set up automated email and SMS notifications to keep candidates on track with their screening.

Screening notifications let you automatically send emails and SMS messages to candidates when they're enrolled in a screening — and follow up with reminders if they haven't completed their requirements.

How it works

Each screening template has its own notification settings. You define a sequence of notification steps, each with a channel (email or SMS), timing, and message content. When a candidate is enrolled, the system schedules the notifications automatically. If the candidate completes all their requirements before a scheduled notification is due, that notification is cancelled.

Configuring notifications

Go to your screening's settings and click Candidate Notifications.

Enable notifications

Toggle Candidate Notifications on. When disabled, no notifications will be scheduled for new enrolments.

Set the send window

Choose the hours during which scheduled notifications can be sent:

  • From — the earliest hour notifications can send (e.g. 9:00 AM)
  • Until — the latest hour notifications can send (e.g. 6:00 PM)

The send window uses your account's timezone. Immediate notifications (sent on enrolment) are sent straight away regardless of the send window.

Add notification steps

Click Add Step to create a notification in the sequence. For each step, configure:

Channel

Choose Email or SMS.

When to send

Select the timing from the dropdown:

  • On enrolment — sends immediately when the candidate is enrolled
  • 1 day after enrolment, 2 days, 3 days, etc. — sends at the configured send window start time on that day

Email fields

If you selected email:

  • From name — the sender name candidates will see
  • Reply-to email — where candidate replies go
  • Subject — the email subject line
  • Body — the email content

SMS fields

If you selected SMS:

  • Message — the SMS text (maximum 320 characters). Keep messages under 160 characters where possible to avoid multi-segment charges

Template variables

Use these variables in your message content and they'll be replaced with the candidate's details when sent:

{{screening_name}} Name of the screening template
{{portal_link}} Link to the candidate's portal
{{items_remaining}} Number of incomplete requirements
{{completion_percentage}} Percentage of requirements completed

Example notification sequence

Here's a typical setup for a screening with interview and document requirements:

  1. Step 1: Email on enrolment — welcome the candidate, explain what they need to complete, and include their portal link
  2. Step 2: SMS after 3 days — a friendly reminder with the portal link for candidates who haven't completed everything yet
  3. Step 3: Email after 7 days — a final reminder with urgency

Applying to existing candidates

When you add or modify notification steps, you'll see an option to also send to existing candidates who are enrolled but don't have notifications scheduled yet. This is useful when you add notifications to a screening that already has enrolments.

Automatic cancellation

When a candidate completes all screening requirements and their enrolment status becomes passed, all remaining pending notifications are automatically cancelled. This prevents candidates from receiving reminders about requirements they've already completed.

Delivery tracking

Each notification has a delivery status: pending, sending, sent, delivered, failed, skipped, or cancelled. If a notification fails to send, the system will retry automatically.
