Enrolling candidates in a screening
How to enrol one or many candidates in a screening and send them interview invitations.
Once you've set up a screening template with requirements, you can start enrolling candidates. ScoutUp supports both single and bulk enrolment from multiple entry points.
Enrolling a single candidate
From the talent pool
- Navigate to Candidates in the sidebar
- Find the candidate you want to enrol
- Hover over the candidate row and click the screening icon
- In the modal that appears, select the screening template
- Click Enrol
From a job's applications
- Open a job and go to its applications list
- Click Enrol in Screening next to a candidate
- Select the screening template and confirm
Bulk enrolment
Multi-select from the candidate list
- Navigate to Candidates
- Use the checkboxes to select multiple candidates
- Click the Enrol in Screening bulk action
- Select the screening template and confirm
All selected candidates will be enrolled at once. You'll see a summary of how many were enrolled, how many were skipped (already enrolled), and any errors.
From a CSV upload
If you're importing candidates via CSV on a job's applications page, you can enrol them in a screening as part of the same flow. After uploading and creating the candidates, use the screening enrolment modal to select a template.
What happens when a candidate is enrolled
When a candidate is enrolled in a screening, several things happen automatically:
- A screening enrolment record is created with a pending status
- A screening item is created for each requirement in the template (one per interview, one per document requirement)
- For interview requirements, an interview and invitation are created and linked to the enrolment
- The system checks for any existing documents the candidate has already uploaded that match document requirements
- If screening notifications are configured, notifications are scheduled (and any immediate notifications are sent straight away)
Each candidate can only be enrolled in a given screening template once. Attempting to enrol the same candidate again will be skipped.
Sending interview invitations
Enrolling a candidate creates the interview invitation, but doesn't send it automatically. To send invitations:
- Go to the screening's Dashboard
- Select the enrolments you want to invite (use checkboxes for multiple)
- Click Send SMS Invites or Send Email Invites
Invitations include a unique link that takes the candidate to their interview. Links expire after 7 days. Reminders are scheduled automatically after the initial invitation is sent.
Monitoring progress
Track enrolment progress on the screening dashboard. Each enrolment shows:
- Candidate name and contact details
- Overall status (pending, in progress, or passed)
- Colour-coded dots for each requirement
- Completion percentage
As candidates complete interviews and submit documents, their enrolment status updates automatically. When all requirements are passed, the enrolment status changes to passed and any remaining pending notifications are cancelled.
Removing an enrolment
To remove a candidate from a screening, hover over their row on the dashboard and click the remove action. This deletes the enrolment and all associated screening items, interviews, and scheduled notifications.
